Podcast Guest Consent & Release Agreement
Thank you for being a guest on Maternal Village Conversations. This agreement outlines how guest interviews are recorded, edited, published and promoted. By submitting this form, the guest confirms that they have read, understood and agreed to the terms below.
1. Recording Consent
The guest consents to their interview being recorded remotely via Zoom, including their voice, video image and contributions to the conversation.
2. Publication and Distribution
The guest grants Maternal Village permission to edit, reproduce, publish, distribute and make the interview available to the public through:
Spotify and Apple Podcasts.
The podcast's website and associated online platforms.
Social media platforms, including Instagram, Facebook, LinkedIn, TikTok and YouTube, where applicable.
Other reasonable channels used to distribute or promote the podcast.
The interview may be published in full or in selected excerpts.
3. Promotional Content and Marketing
The guest grants permission for their name, voice, image, approved photographs, professional biography and interview contributions to be used in connection with the podcast and its promotion.
This may include:
Short video clips from the recorded interview.
Audio excerpts and trailers.
Written quotes, quote graphics and social media posts.
Episode announcements, promotional graphics and website content.
Transcripts, captions and summaries of the interview.
Promotional content may be edited for length, clarity, accessibility and presentation, provided it does not materially misrepresent the guest's statements or the meaning of their contribution.
Review and Approval Process
The guest will be sent an MP3 copy of the edited episode to listen to before publication and may raise concerns or request reasonable corrections. Promotional video clips and cover photos will be sent to the guest for review and approval before being published on social media.
The podcast producer retains final editorial and publishing responsibility, subject to the review and approval commitments outlined above and any applicable legal requirements.
Editing and Editorial Integrity
The interview may be edited for length, clarity, sound quality, pacing and suitability for publication. Short excerpts may be taken from the full conversation for promotional purposes (videos and quotes) The guest's words will not knowingly be edited in a way that materially distorts their intended meaning or creates a misleading impression of their views.
Rights and Permission
The guest grants Maternal Village permission to use the recorded interview, voice, image and contributions for the publication and promotional purposes described in this agreement. This permission applies only to rights the guest owns or is legally authorised to license. It does not transfer ownership of the guest's pre-existing intellectual property, trademarks, photographs or other independently owned materials. Any additional use outside the scope of this agreement may require separate permission. Nothing in this agreement removes rights that cannot lawfully be waived or transferred.
Fees and Compensation
The guest's participation is voluntary and unpaid. No appearance fee, royalty or other compensation is payable for participation or for the authorised publication and promotional use of the interview. Any separately agreed compensation arrangement will take precedence to the extent of any inconsistency with this section.
Third-Party Material and Confidentiality
The guest agrees not to knowingly provide material that infringes another person's rights or that they are not authorised to disclose. The guest should avoid sharing confidential information, private personal information about others or material they do not have permission to disclose.
Where the guest supplies third-party photographs, recordings, documents or other materials for inclusion in the episode, the guest confirms that the necessary permissions have been obtained or that any restrictions have been disclosed to the podcast producer.
Privacy and Personal Information
The guest understands that their name, contact details, professional information, voice, image and interview recordings may be collected and processed to arrange, record, edit, publish, promote and administer the podcast. Contact details may be used for communications relating to the interview, review process and publication.
Published interviews and approved promotional materials may be publicly accessible online and may be shared, downloaded or reposted by third parties beyond the podcast producer's direct control.
Personal information will be handled in accordance with applicable privacy and data protection laws and the podcast's privacy policy.
Duration and Removal Requests
This agreement applies to the recording, publication and authorised use of the interview and related promotional material on an ongoing basis, subject to applicable law and any subsequent written agreement.
The guest may contact info@maternalvillage to raise concerns or request the removal of an episode or promotional material.
